0. INTRODUCTION

This specification provides the definition of the Instruction to despatch message (INSDES) to be used in Electronic Data Interchange (EDI) between trading partners involved in administration, commerce and transport.


1. SCOPE


1.1. Functional Definition

A message from a party to another party who has control over ordered goods, providing instructions to put on hold or to despatch a consignment according to conditions specified in the message.


1.2. Field of Application

The Instruction to despatch message may be used for both national and international applications. It is based on universal practice related to administration, commerce and transport, and is not dependent on the type of business or industry.


1.3. Principles

Depending on circumstances the Instruction to Despatch message may be sent either from a buyer to a supplier (see point 1.3.1 below), or from a supplier or buyer to a third party service provider (see point 1.3.2 below).

The Instruction to Despatch message may be used to;

  • request the delivery of goods being held by a third party (e.g., warehouse, logistic service provider) on behalf of a buyer or supplier.
  • request the delivery of goods being held by the supplier until the buyer is in a position to receive them. For example, when ordering equipment for a new building the purchase order for the equipment will be issued before the start of physical building. As the building progresses equipment will be requested for delivery, for installation before the next phase of building starts, e.g., the heating system.
  • identify the exact delivery location;
  • identify the date on which delivery should take place;
  • etc.

The Instruction to Despatch message must not be used to;

  • change information previously agreed on an order, e.g., price, ordered quantities, etc. The Purchase Order Change message must be used for this purpose.
  • order transport services for the despatch of the goods identified in the message. The message Transport Instruction must be used for this purpose.

1.3.1. Buyer to Supplier

The Instruction to Despatch message may be used by a buyer to inform his seller to release the despatch of goods previously ordered. In addition the message may be used to instruct the seller to hold the despatch of goods which have been previously reported as being ready for despatch.

1.3.2. Buyer or Supplier to Third Party Service Provider.

When the message is sent from a supplier or a buyer to a third party service provider it may be used to request the service provider to despatch specified goods, identify the delivery location, identify the date on which delivery should take place, and, or indicate that the despatch is subject to cash on delivery, etc.

Because the third party service provider is outside the normal buyer to supplier order process the Instruction to Despatch message may be used by the supplier or buyer to inform the third party service provider of information stated in the order which is required for the effective despatch of the goods, e.g., terms of delivery, transport equipment required for the delivery, etc.

4. MESSAGE DEFINITION


4.1. Data Segment Clarification

This section should be read in conjunction with the Segment Table which indicates mandatory, conditional and repeating requirements.


4.1.1. Header section

Information to be provided in the Header section:

0010 UNH, Message header

A service segment starting and uniquely identifying a message. The message type code for the Instruction to despatch message is INSDES.

Note: Instruction to despatch messages conforming to this document must contain the following data in segment UNH, composite S009:

0020 BGM, Beginning of message

A segment for unique identification of the Instruction To Despatch message, by means of its name and its number.

0030 DTM, Date/time/period

Date and or time, or period related to the whole message, e.g., the date on which delivery should take place. This segment must be specified at least once to identify the Instruction To Despatch message date.

0040 INP, Parties and instruction

A segment to identify any instructions related to the delivery of goods which are relevant to the whole message, e.g., hold for quality control, release goods for despatch.

0050 FTX, Free text

A segment providing additional free text pertinent to the complete Instruction to Despatch message. In computer to computer exchanges such text will normally require the receiver to process this segment manually.

0060 Segment Group 1: RFF-DTM

A group of segments giving references where necessary, their dates relating to the whole message, e.g., contract number, purchase order number, etc.

0070 RFF, Reference

A segment for identifying references relating to the whole Instruction to Despatch message, e.g., purchase orders, delivery instructions, import license, export license.

0080 DTM, Date/time/period

A segment for specifying dates and or times, or periods related to the reference.

0090 Segment Group 2: NAD-LOC-SG3-SG4

A group of segments identifying names, addresses, locations, and references relevant to the identified parties used for the whole message.

0100 NAD, Name and address

A segment for identifying names, addresses, and their functions relevant to the whole Instruction to Despatch message. Identification of the parties involved is recommended for the Instruction to Despatch message and is to be given in this segment. It is recommended that where possible, only the coded form of the party identification should be specified, e.g., the buyer and seller are known to each other, thus only the coded identification is required. The consignee or delivery address may vary and would have to be clearly specified, preferably in structured format.

0110 LOC, Place/location identification

A segment indicating more details regarding specific places and, or locations related to the currently identified party, e.g., internal site and, or building number. This segment may be used to identify locations relevant to all items detailed in the message.

0120 Segment Group 3: RFF-DTM

A group of segments giving references relevant only to the specified party rather than the whole message.

0130 RFF, Reference

A segment for referencing documents relating to the currently identified party.

0140 DTM, Date/time/period

A segment for specifying date and, or time, and, or period of the referred document.

0150 Segment Group 4: CTA-COM

A group of segments identifying the contact person or the department for the currently identified party and if required specifying the communications channel and number.

0160 CTA, Contact information

A segment to identify the person, function or department within the current party where communications should be directed.

0170 COM, Communication contact

A segment to identify communication types and numbers for the currently identified person, function or department.

0180 Segment Group 5: TOD-LOC-FTX

A group of segments indicating terms of delivery. The terms of delivery will be required by a third party service provider in order to arrange delivery according to the terms agreed in the order.

0190 TOD, Terms of delivery or transport

A segment indicating the terms of delivery and transfer for the whole Instruction to Despatch message.

0200 LOC, Place/location identification

A segment indicating locations relevant to the terms of delivery.

0210 FTX, Free text

Additional free text pertinent to terms of delivery. In computer to computer exchanges such text will normally require the receiver to process this segment manually.

0220 Segment Group 6: TDT-PCD-SG7

A group of segments specifying details of the mode and means of transport and date and, or time of departure and destination relevant to the whole Instruction to Despatch message. The transport details will be required by a third party service provider in order to arrange delivery according to the terms agreed in the order.

0230 TDT, Details of transport

A segment specifying the mode and means of transport for the whole Instruction to Despatch message.

0240 PCD, Percentage details

A segment specifying the percentage of utilization of the capacity of the means of transport.

0250 Segment Group 7: LOC-DTM

A group of segments giving the location and date, and, or time information relative to the transportation.

0260 LOC, Place/location identification

A segment indicating locations relevant to the currently identified transport.

0270 DTM, Date/time/period

A segment giving the date and or time, or period information of departure and, or arrival of the transported goods for the specified location.

0280 Segment Group 8: EQD-MEA-EQA-SG9

A group of segments providing information relative to the equipment used for the transportation of goods relevant to the whole Instruction to Despatch message. The equipment details will be required by a third party service provider in order to arrange delivery according to the terms agreed in the order.

0290 EQD, Equipment details

A segment to define fixed information regarding equipment used in conjunction with the whole Instruction to Despatch message, and if required, to indicate responsibility for supply of the equipment.

0300 MEA, Measurements

A segment specifying physical measurements of the currently described equipment.

0310 EQA, Attached equipment

A segment identifying equipment which is attached to the currently described equipment.

0320 Segment Group 9: HAN-FTX

A group of segments providing information on hazardous goods and their handling.

0330 HAN, Handling instructions

A segment providing information on handling and notification of hazardous materials in the specified equipment.

0340 FTX, Free text

A segment with free text information in coded or clear form to give further clarification, when required, for hazardous material.


4.1.2. Detail section

Information to be provided in the Detail section:

0350 Segment group 10: LIN-PIA-IMD-QTY-GIN-INP-DTM-FTX-MOA-SG11- SG12-SG13 A group of segments providing details of individual line items for which Instruction to Despatch message information is being provided.

0360 LIN, Line item

A segment identifying the line item for which Instruction to Despatch message information is being provided. All other segments in the detail section following this segment refer to this line item.

0370 PIA, Additional product id

A segment providing additional product identification to that currently provided.

0380 IMD, Item description

A segment for describing the line item for which Instruction to Despatch message information is being provided. This segment should be used for products that cannot be identified by a product code or article number.

0390 QTY, Quantity

A segment to give quantity information related to the current line item.

0400 GIN, Goods identity number

A segment providing identity numbers of the line item for which despatch instruction information is being provided, e.g., serial numbers of goods to be despatched or put on hold.

0410 INP, Parties and instruction

A segment to identify any instructions related to the delivery of the current line item, e.g., hold until further notice.

0420 DTM, Date/time/period

A segment providing date, and or time information related to the line item, e.g., requested delivery date.

0430 FTX, Free text

A segment with free text information in coded or clear form to give further clarification, when required, to the line item. In computer to computer exchanges such text will normally require the receiver to process this segment manually.

0440 MOA, Monetary amount

A segment identifying monetary amounts related to the current line item for which a Instruction to Despatch message is being given, e.g., customs value, insurance value, cash on delivery amount.

0450 Segment Group 11: RFF-DTM

A group of segments to give reference numbers and dates related to the current line item.

0460 RFF, Reference

A segment identifying references related to the current line item.

0470 DTM, Date/time/period

A segment for specifying date and or time, or period relative to the current reference.

0480 Segment Group 12: NAD-QTY-DTM-LOC

A group of segments providing party information related to the current line item and where relevant, quantities, date and time, and additional locations within the party.

0490 NAD, Name and address

A segment for identifying names and addresses and their functions relevant to the Instruction to Despatch message for the current line item. It is recommended that where possible only the coded form of the party identification should be specified, e.g., the buyer and seller are known to each other, thus only the coded identification is required. The consignee or delivery address may vary and would have to be clearly specified, preferably in structured format.

0500 QTY, Quantity

A segment to specify a quantity related to the identified party for the current line item. The total value of the quantities specified in the repeats of this segment should equal the quantity value specified at the line item level.

0510 DTM, Date/time/period

A segment providing date and, or time information related to the quantity specified for the current party.

0520 LOC, Place/location identification

A segment identifying a specific location related to a quantity for the currently identified party.

0530 Segment Group 13: PCI-GIN

A group of segments identifying the marks and numbers on the package for the current line item.

0540 PCI, Package identification

A segment specifying marking and labels on the packaging for the current line item.

0550 GIN, Goods identity number

A segment providing identification numbers marked on the packaging for the current line item.


4.1.3. Summary section

Information to be provided in the Summary section:

0560 UNS, Section control

A service segment separating the detail section of the message from the summary section.

0570 MOA, Monetary amount

A segment identifying monetary amounts related to the complete Instruction to Despatch message, e.g., customs value, insurance value, cash on delivery amount.

0580 CNT, Control total

A segment by which control totals may be provided by sender for checking by the receiver.

0590 UNT, Message trailer

A service segment ending a message, giving the total number of segments in the message and the control reference number of the message.
